    Create A Custom Correspondence Letter from Document Delivery

    Learn how to create a custom correspondence letter from Document Delivery.


    To begin

    Once you have selected the designated client, select Document Delivery from the Client Menu.


    ✨ This is the Document Delivery screen. ✨

    Use the Title Search field to search for the Correspondence templates.


     

    Generating A Letter to Send in the Mail

    To generate a correspondence that will be printed select the Doc/Title:  Correspondence.


    Basic information is already filled into the template.  You will see them as placeholders while in edit mode.

    • Today's Date
    • Client
    • Staff Signature 

    &

    • Client ID 

    Fill in the text that you need the letter to contain in the appropriate area of the existing template.


    Clicking Preview will generate a preview of what the letter looks like.

    If you need to make any adjustments, click Edit to go back to the edit mode.


    Clicking Save will just save your progress.  You will find the saved letter listed in the Upcoming/Pending/Incomplete Documents section.


    Clicking Incomplete from the Upcoming/Pending/Incomplete Documents section will bring the letter back up in edit mode.  


    Clicking Complete & Print will generate the letter in PDF form.  Use printer icon in the top right-hand corner of the screen to print the letter to mail to the client.


    The letter will now appear in the History of Delivered Documents section.

     

    ✨Use your typical process to mail out the letter and the process is complete! 🗸

    Generating A Letter to Send Via the Client Portal/Staff App

    To generate a correspondence that will be sent to the Client Portal for signature/client acknowledgment, select the Doc/Title:  Correspondence- portal- signature requested.


    Fill in the text that you need the letter to contain in the appropriate area of the existing template.

     

    Basic information is already filled into the template.  You will see them as placeholders while in edit mode.

    • Today's Date
    • Client
    • Staff Signature 

    &

    • Client ID 

    Clicking Preview will generate a preview of what the letter looks like.

    If you need to make any adjustments, click Edit to go back to the edit mode.


    Clicking Save will just save your progress.  You will find the saved letter listed in the Upcoming/Pending/Incomplete Documents section.


    Clicking Incomplete from the Upcoming/Pending/Incomplete Documents section will bring the letter back up in edit mode.  


    Clicking Complete & Print will generate the letter in PDF form.

    You can still print from here but at this point, the letter has been sent to the Staff App/Client Portal.


    The letter will stay in the Upcoming/Pending/Incomplete Documents section until the client signs/acknowledges from the Portal or Staff App it or you manually print the document and then Complete it.

     

    ✨Outside of awaiting the client's signature/acknowledgement, the process is complete! 🗸

    If you decide to print instead ✨

    If you decide you would like to print the document and mail it out instead, click View beside the document in Upcoming/Pending/Incomplete Documents section, print from the PDF and then click the Complete button to move the document from Upcoming/Pending/Incomplete Documents to History of Delivered Documents.

    Please note:  This version of the document has fields for the client's signature so you would need to indicate somewhere on the document that the signature is no longer needed.

    Another option would be to delete the document and begin the process over again, using the template that is not intended for electronic use.


     

    • If client completes the process by signing the document via the Staff App/Client Portal once the document moves to the History of Delivered Documents section, it will be listed as “Client Completed”.

     

    • If you end up printing the document instead, it will be listed as “Intended to be electronic but completed manually/printed”.
